This role focuses on communication, scheduling, documentation, task tracking, and coordination between internal teams, vendors, clients, and field personnel.This position also requires regular field visits to observe project activity, gather updates, verify equipment or installation progress, and support communication between onsite teams and office staff. This is a coordination-focused role and not a formal IT Project Manager position.Key ResponsibilitiesCoordinate day-to-day activities for IT and technology-related projectsTrack project tasks, timelines, deliverables, and follow-up itemsSchedule meetings and maintain project calendarsPrepare meeting agendas, notes, status updates, and action-item trackingMaintain project documentation, spreadsheets, and project recordsCommunicate project updates to internal teams, vendors, clients, and leadershipConduct field visits to observe project progress, installations, deployments, or support activitiesDocument field observations and report progress, concerns, delays, or issues to leadershipSupport communication between field technicians, installers, vendors, and office teamsAssist with coordinating equipment deliveries, resources, and project logisticsMonitor project progress and escalate concerns when neededEnsure project records and documentation remain accurate and up to dateSupport onboarding and coordination activities for project-related personnel when neededQualifications2+ years of experience in project coordination, IT support coordination, operations coordination, or related rolesExperience supporting IT, technology, deployment, or service-based projects preferredStrong organizational and multitasking skillsExcellent verbal and written communication abilitiesStrong attention to detail and follow-throughAbility to manage multiple priorities in a fast-paced environmentComfortable working both in an office environment and visiting active project sitesValid drivers license and reliable transportation may be requiredProficiency with Microsoft Excel, Microsoft Outlook, and other office productivity toolsExperience with project tracking and collaboration tools preferredPreferred SkillsStrong coordination and follow-up abilitiesAbility to communicate professionally with technical teams, clients, vendors, and leadershipComfortable working around active installation or deployment environmentsStrong problem-solving and time-management skillsAbility to track multiple moving parts and maintain organization under pressureExperience supporting deployments, low-voltage, infrastructure, classroom technology, or field service projects is a plusWork EnvironmentCombination of office and field-based workFrequent communication with technical teams and onsite personnelMay require local travel to project sitesFast-paced environment with shifting priorities and deadlines
