JOB GOAL:

  • To manage the registration and records-reporting process for schools.
  • To assist school administrators, counselors, and school office staff with managing school records and student registration with efficiency and accuracy.

QUALIFICATIONS:
  1. High school diploma or equivalent
  2. Successful work experience in a comparable or related position is preferred.
  3. Ability to meet the suitability criteria for employment and/or certification/licensure under the Alabama Child Protection Act of 1999 and Act No. 2002-457.
  4. Knowledge of general office procedures and school office operations.
  5. Demonstrated proficiency in oral and written communication skills.
  6. Effective interpersonal skills, with an emphasis on communication and collaboration with a wide variety of people and groups
  7. Ability to work independently, prioritize tasks, and perform assignments as directed with accuracy, attention to detail, and within established time frames.
  8. Demonstrated proficiency with the use of a student information system (preferred) and other standard workplace software such as Microsoft or Google applications (Word, Docs, PowerPoint, Slides, etc.)
  9. Ability to use technology to communicate, to manage data, and to produce/submit required reports, correspondence, and/or financial information.
  10. Ability to remain calm and use good judgment in emergency situations.
  11. Ability to exercise tact, courtesy and initiative in dealing with students, parents, faculty and the public.
  12. Ability to engage in prolonged sitting.
  13. Physical strength, mobility, dexterity, stamina, and acuity to perform job responsibilities.
  14. Ability to be punctual and in regular attendance.
  15. Such alternatives to the above qualifications as the Board may require.
PERFORMANCE RESPONSIBILITIES:
  1. Demonstrates support for the school system and its vision, goals, and priorities.
  2. Registers new students, requests records, assists withdrawing students, and sends records as needed.
  3. Maintains school records, transcripts, reports, databases, and correspondence records as needed.
  4. Accurately maintains information related to student enrollment, promotion, retention, dropout, and graduation as applicable for grade level assignment(s).
  5. Types and performs various clerical functions.
  6. Produces reports and assists with records compilations efficiently, accurately, and in a timely manner.
  7. Assists in development, input, and maintenance of master schedule as directed.
  8. Performs duties in a courteous and professional manner.
  9. Responsible for state reporting corrections relevant to their job duties, including but not limited to Local Education Agency Personnel System.
  10. Assists when needed in routine office and/or clerical tasks to support activities of secretary, bookkeeper, receptionist, principal, or other administrators as needed.
  11. Assists parents and/or school personnel in obtaining needed documentation, verifications, or records for meetings, projects, planning, or legal proceedings.
  12. Contacts and/or corresponds with other schools or agencies to complete student registration and/or records.
  13. Meets and deals effectively with the public, staff members, students, parents, administrators, and other contact persons using tact and good judgment.
  14. Exhibits interpersonal and collaboration skills to work as an effective team member.
  15. Models and maintains high ethical standards.
  16. Demonstrates initiative in the performance of assigned responsibilities.
  17. Posts/records and files correspondence and reports as directed.
  18. Assists office personnel and/or administrators as needed with preparations for meetings, projects, visiting groups, delegations, or conferences.
  19. Participates in the training programs offered to increase skill and proficiency related to assignment.
  20. Ensures adherence to security rules and safety standards.
  21. Arranges for technical support, servicing, and effective operation of office technology and office machines as needed.
  22. Maintains appropriate confidentiality regarding school/workplace matters.
  23. Demonstrates initiative in identifying potential problems and/or opportunities for improvement in areas of responsibility.
  24. Reports potential problems, unusual events, or work irregularities to appropriate administrative or supervisory personnel.
  25. Responds to inquiries, requests, constructive feedback, concerns and/or complaints in a timely and positive manner.
  26. Maintains and submits reports, records, and correspondence in a timely and accurate manner.
  27. Properly uses and cares for equipment and material resources of the school system and effectively supervises and monitors others in the care, maintenance, and use of tools, equipment, and inventory
  28. Serves on school system committees, tasks forces, and representative groups as required.
  29. Adheres to school system rules, administrative procedures, local Board policies, and state, federal, and local regulations.
  30. Reports absences and takes leave in accordance with Board policies and procedures.
  31. Performs any other job-related duties as assigned by the Principal

EVALUATION: Job performance will be evaluated in accordance with provisions of the State Department of Education and/or Pike Road Board of Education policy on evaluation of classified personnel.
